The AI Pitch Everyone's Making You Skips the Actual Problem

Every software vendor calling your branch this quarter has an AI angle. Smarter quoting, predictive inventory, automated everything. Some of that might matter eventually. It's not what's slowing your reps down right now.

The Real Bottleneck Is How Orders Come In

An HVAC distributor doesn't get orders through one door. A contractor texts a photo of a bad part. Another calls from a job site mid-install. Someone emails a full spec list. A longtime customer still faxes their PO because that's their process. A walk-in hands a rep a handwritten list at the counter.

Every one of those is a valid way to buy from you. The issue is what a rep has to do next — jump from the fax machine to the inbox to the phone to the counter screen, just to get one order fully entered. Every switch is a place where a detail gets lost or a response gets delayed.

Why Volume Makes This Worse, Not Better

When demand climbs, page-switching doesn't get more manageable — it gets more costly. A rep handling five channels during a busy stretch doesn't have room to also carefully track which system needs updating for which order. Specs get missed. A faxed PO sits untouched because the phone hasn't stopped ringing.

Hiring more reps doesn't fix this. Every new hire inherits the same fragmented workflow and the same friction, just with less experience to compensate for it.

What Actually Comes First

Before predictive anything, ask a simpler question: can a rep take a text, a fax, an email, a call, and a walk-in without leaving one screen? If not, that's the gap that's actually costing you speed and accuracy — not a missing algorithm.

A rep working every channel from one place isn't just faster. They're also more likely to use the process consistently, instead of quietly reverting to whatever's easiest when the "correct" system takes longer than a shortcut.

Sequence Matters

AI can add value once the fundamentals are solid. It's not a replacement for them. A distributor whose reps are still bouncing between five tools for one order isn't ready for a smart layer on top — they're ready for someone to unify what's already there.

If your team feels the surge, don't start with the vendor promising intelligence. Start with the one promising a workflow that's the same, no matter how the customer reaches out.
